Managing customer records, approval status, and contact information

Customers

HotCrate keeps a record for every customer you have rented to. Customer records store contact information and rental history in one place.

Customer fields

  • Name (required)
  • Email - used for rental confirmation emails when you choose to send them
  • Phone
  • Referral source - optional note about how this customer found you
  • Notes - internal notes visible only to you
  • Approval status - mark a customer as approved to track that you have vetted them

Creating a customer

You can create customers in two ways:

  • From the Customers page - go to Customers in the sidebar and click Add customer.
  • During the Add Rental flow - click New customer in the customer selector and fill in the details on the spot. The new customer is saved to your customer list.

Approval

Each customer has an approval status. You can mark a customer as approved from their profile. The approval state appears as an icon on rental cards so you can see at a glance whether a customer is vetted.

Customer records support attached documents (insurance certificates, rental agreements, etc.). See Customer documents for details.
